Roles and permissions

For owners and managers · updated 18 Oct 2026

A role is a set of permissions (take orders, give discounts, void, refund, open the drawer…). Roles apply to every branch. When a role lacks a permission, a colleague who has it can approve on the spot with their PIN.

Back office Staff & roles Edit roles

  1. Open Staff & roles and tap Edit roles (owner or admin only).
  2. Tap New role, give it a name and Start from a copy of another role or Nothing allowed.
  3. Tick what it may do, grouped as Orders, Bills, Discounts and comps, Payments and refunds, Cash drawer and shifts, Menu and prices, People and devices, Reports and customers, Other.
  4. Set its Discount limit: the largest discount it gives alone.
  5. Save. Tills pick it up at their next sync.

Example

A shift lead

New role "Shift lead", Start from a copy of Waiter. Add: void sent dishes, reprint bills, cash in and out, close any shift. Discount limit: 15%. A waiter giving 20% needs the shift lead's PIN.

Can the Owner role be changed?

No. It's built in and can do everything.

What is the Driver role?

Every restaurant has one for the people who deliver for you. It lets them drive deliveries (their own runs, and taking payment at the door) and nothing else: no orders, bills or discounts. Give a driver who also serves the Waiter or Cashier role instead, and tick Drive deliveries.

I removed a role by mistake

A removed role comes back with its permissions. People keep whatever role they have now.

If it goes wrong

Staff are asked for a manager's PIN for something they should do

Their role is missing that permission. Tick it in Edit roles, then wait for the till's next sync.
